The purpose of this privacy policy (hereinafter the “Policy“) is to transparently explain to you how we handle the Personal Data we collect through Leexi in the context of meetings organized by Sociabble (hereinafter “Sociabble” or “We“). Leexi is a tool powered by generative AI allowing us to use call transcription for automated note-taking as well as to analyze and summarize video calls. The Policy complies with European regulations on the protection of personal data and in particular General Data Protection Regulation (EU) 2016/679 of April 27, 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data (hereinafter “GDPR“). Who is concerned by this Policy? This Policy applies to individuals who take part in meetings with Sociabble, whether they are Employees, Customers or Prospects. What do we mean by …? “Collect“ means the collection of Personal Data. “Customer” means the natural person belonging to the legal entity that contracts with Sociabble in order to have access to the services offered by Sociabble. “Data Controller“ means the natural or legal person who determines the purposes and means of the Processing. For the purposes of this Policy, the Data Controller is Sociabble. “Data Processor“ means the natural or legal person who processes Personal Data on behalf of Sociabble. For the purposes of this Policy, the Data Processor is Leexi. “Employee” means any person employed by Sociabble. “Legal Basis“ means what legally authorizes Sociabble to proceed with the Collection and Processing of your Personal Data. Six legal bases are provided by the GDPR: · the performance of a contract or pre-contractual measures, · compliance with a legal obligation, · the performance of a mission of general interest, · the fulfillment of a legitimate interest, · safeguarding vital interests, · the consent of the person concerned. “Personal Data“ means any information to which Sociabble has access as part of the recruitment and/or hiring process and which relates to an identified or identifiable natural person. “Processing“ means any operation or set of operations applied to Personal Data regardless of the process used, including but not limited to collection, recording, organization, structuring, storage, adaptation or modification, extraction, consultation, use, communication by transmission, deletion or destruction). “Prospect” means any natural person belonging to the legal entity having expressed an interest in the services offered by Sociabble and having entered into commercial discussions with a view to possibly using said services. Who is Sociabble? We, Sociabble, whose registered office is located at 12, rue Charlot – 75003 Paris (France), act as the Data Controller for Personal Data collected as part of our internal recruitment activities. Who is Leexi? Leexi, whose registered office is located at 1183, Chaussée de Wavre – 1160 Brussels (Belgium), acts as a Data Processor for the Personal Data collected through the use of the Leexi tool. This Personal Data is processed in Europe. What data is collected? How is it processed? For which purposes? Subject Matter of the Processing Managing and conducting the meeting. Purpose(s) of the Processing · Employee training and assessment · Managing negotiations with prospects · Managing and monitoring customer files Legal Basis of the Processing* Your consent. Types of Personal Data Last name, first name, username, professional e-mail address, content generated in meetings that may include your voice and/or image (your video and audio will be collected when you activate these features to participate in the meeting). Duration of the Processing Duration of the meeting. Retention period of Personal Data Recordings are kept for (2) years from the date of recording. Some videos may be kept for three (3) years from the date of recording, for internal training purposes. * Employees’ Personal Data is collected and processed on the legal basis of legitimate interest. Who may receive your Personal Data? We may share your Personal Data with the following persons to the extent strictly necessary to carry out the Processing and pursue the purposes set out in this Policy: any Employee who needs to view the audiovisual recording or to take note of the information exchanged during the meeting that was the subject of the recording, in particular your contact person for our prospects or the Customer Success Manager for our Customers; Leexi, as Sociabble’s Data Processor. You can contact our Data Protection Officer (DPO), whose contact details are given below, to obtain a more complete list of the recipients of your Personal Data. What are your rights? The GDPR gives you certain rights regarding the Processing of your Personal Data. Meeting recording is based on your consent and at any time, you notably have the right to withdraw your consent. If you do not want to be recorded, you can object by contacting the meeting organizer or at the start of the meeting. You also have the right to access your Personal Data, i.e. to ask Sociabble to provide you with the video recording in order to verify its content. Finally, you may request that the recording be deleted. How can you exercise your rights?
